Audio-visual equipment sign-up


Sign-up reservations for laptop computers and LCD projectors from the Pritzker Library are now available on-line to all authorized users who have access to the Children’s Memorial Hospital Outlook server. To receive the required CMH username and password, contact a member of the CMRC Information Technology group.

RULES FOR ON-LINE SIGN-UP
1. During the normal workday period (8AM - 5PM), you may reserve one laptop and one LCD projector.
2. Do not sign up for a time that overlaps another user's session.
3. Users more than 30 minutes late for their reserved time will have that reservation cancelled.

OUTLOOK-BASED RESERVATION
If you have a Children's Memorial Hospital e-mail account:
1. At the bottom of your Folder List in the Outlook window, click on the folder icon.
2. Scroll to the bottom of the folder list, and expand "Public Folders" then expand "All Public Folders".
3. Expand "CMIER" and then expand "AV Equipment Sign-up".
4. Click on the calendar for the needed equipment to view it.

SIGN-UP INSTRUCTIONS:
1. Check for an available time slot for equipment on the day you wish to make a reservation (be sure to have the date correct).
NOTE: DO NOT make a reservation that overlaps another user’s existing reservation!
2. Click and drag to highlight the time period you wish to reserve, then right-click and select "New Appointment" from the pop-up menu.
OR
Click "New" at the upper left of the calendar view.
3. In the "Subject" line of the appointment window, type your FULL NAME AND LABORATORY AFFILIATION.
4. In the "Location" line, type the LOCATION IN WHICH YOU WILL BE USING THE EQUIPMENT.
5. Select the "Start Time" and "End Time" for your reservation.
6. Click on "Save and Close" at the top left of the window.
7. Check on the calendar view to verify your reservation.
8. To change or delete a reservation (you can only change or delete reservations that you made), double-click on the reservation on the calendar view, then make changes and click "Save and Close" OR click on the "X" on the toolbar to delete the reservation. Check the calendar view to verify your changes or deletion.

WEB-BASED RESERVATION
To access the web-based reservation calendars, you will need a username and password. If you have a Children's Memorial Hospital account, use your username (without the @childrensmemorial.org) and your password. If you do not have a Children's Memorial Hospital e-mail account, you must contact Jason Ruprecht at jruprecht@childrensmemorial.org to request an on-line scheduling account.

SIGN-UP INSTRUCTIONS:
1. Log in to Microsoft Outlook Web Access with your CMH username (use "cmmc\") and password.
2. Under the "Public" folders, click on the "+" in front of the "CMIER" folder, then the "+" in front of the "AV Equipment Sign-up" folder.
3. Choose the equipment that you wish to reserve.
